Assets

Assets allow you to create and manage reusable content in one location and insert that content on any page with an editable region. They can be managed from Content --> Assets. When an asset is edited and published, all pages subscribing to that asset are automatically republished to reflect the change. 

Asset Application

You will primarily use three assets: web content, image gallery and forms.

Web Content

Web Content assets are most often used to create snippet-like assets for contact information or quick links that need to be inserted on several pages around the site.

  1. Log into Omni
  2. In the Omni navigation, click the "Content" tab
  3. Select "Assets"
  4. Click on the “New” button in the top right corner
  5. Select "Web Content"
  6. Name the asset - start name with your unit's directory name
  7. Enter a description of the asset in the “Description” text field
  8. Check "Lock to Site"
  9. In the Access Settings, change "Access Group" and "Available To" to your group
  10. Build your web content asset using the toolbar and wysiwyg in the "Asset Content" section
    • You can select a snippet to start with by clicking the small window icon to the left of the html icon in the toolbar
  11. Click the "Create" button
  12. Save
  13. Publish

  1. Navigate to the page you want to add the asset to
  2. Check out that page by clicking on the light bulb, turning it yellow
  3. Select the “Edit” tab
  4. Select “Edit Main Content” if that’s where you want the asset
  5. Place your cursor where you want the asset to reside
  6. In the tool bar, click on the "Insert Asset" icon (looks like two arrows, usually next to the "Snippet" icon)
  7. Type in the name of your asset in the “Filter by name” text field
  8. Click the “Insert” button
  9. You will not be able to see your asset in Edit or Preview mode.
  10. Save
  11. Publish
  12. Check the page to make sure the asset looks correct

  2. In the Omni navigation, click the "Content" tab
  3. Select "Assets"
  4. In the “Filter” text field, type the name of your asset
  5. Check out your asset by clicking on the light bulb, turning it yellow
  6. Select the “Edit” tab
  7. Edit the asset
    • If you want to update a link, highlight the text and click on the "Insert/Edit Link" icon. Using the file finder icon to the right of the text field, navigate to the file you want to link to and click “Insert.” An eight digit code should appear.
  8. Save
  9. Publish

Forms

Create a form asset so that users can register for events, provide you with information, etc. Omni's forms are easy to use, but do not allow for conditional logic or provide a way for users to upload content. If you have a need for a form with one or both of these functionalities, please submit a help desk ticket.

  1. Log into Omni
  2. In the Omni navigation, click the "Content" tab
  3. Select "Assets"
  4. Click on the “New” button in the top right corner
  5. Click “Form”
  6. Name your form - start name with your unit's directory name
  7. In Access Settings, change “Access Group” and “Available To” to your group
  8. Build your form using the form elements in the left column
  9. Click the “Create” button
  10. Save
  11. Publish

  1. Navigate to the page you want to place the form on, check out the page.
  2. Select “Edit”
  3. Select “Edit Main Content”
  4. In the toolbar, click on the "Insert Asset" icon (looks like two arrows)
  5. Type in the name of your asset in the “Filter by name” text field
  6. Click the “Insert” button
  7. Save
  8. Publish

  3. Select "Assets"
  4. Using the "Filter" text field, type the name of your asset
  5. Check out your asset by clicking on the light bulb, making it yellow
  6. Click “Edit”
  7. Make edits
  8. Save
  9. Publish

  1. Log into Omni
  2. In the Omni navigation, click the "Content" tab
  3. Select "Assets"
  4. In the “Filter” text field, type the name of your asset
  5. Check out your asset by clicking on the light bulb, making it yellow
  6. Click “Form Submissions”
  7. Click “Export CSV”
  8. Check back in the form by clicking on the light bulb, making it white

Image Galleries

The images in an image gallery or slider cannot be loaded from the images file in your web directory, you must upload them from your desktop. Once images are loaded in the asset, they can only be updated, replaced or deleted from the within the asset file.

  1. Log into Omni
  2. In the Omni navigation, click the "Content" tab
  3. Select "Assets"
  4. Click the “New” button in the top right corner
  5. Select “Image Gallery”
  6. Name the asset - start name with your unit's directory name
  7. Enter a description of the asset in the “Description” text field
  8. Check "Lock to Site"
  9. In the Access Settings, set the “Access Group” and “Available To” to your group.
  10. Click the “Create” button
  11. Click the “Upload Images” button or drag and drop the images in the "Upload Images" area
  12. Select the images you would like to upload
  13. Upload the images
  14. [REQUIRED] Describe the photo in the “Caption” text field. This is for accessibility reasons.
  15. Add photo captions in the “Description” text field. You may also add titles.
  16. Save
  17. Publish

  1. Navigate to the page you want to add the asset to
  2. Check out that page by clicking on the light bulb, turning it yellow
  3. Select the “Edit” tab
  4. Select “Edit Main Content” if that’s where you want the asset
  5. Place your cursor where you want the image gallery to reside
  6. In the toolbar, click on the "Insert Asset" icon (looks like two arrows)
  7. Type in the name of your asset in the “Filter by name” text field
  8. Click the “Insert” button
  9. You will not be able to see your asset in Edit or Preview mode.
  10. Save
  11. Publish
  12. Check the page to make sure the asset looks correct

  4. Using the "Filter" text field, type the name of your asset
  5. Check out the asset by clicking on the light bulb, turning it yellow
  6. Select the “Edit” tab
  7. If you want to add a new slider, do the following:
    1. Click the “Upload Images” button or drag and drop the images in the "Upload Images" area
    2. Select the images you would like to upload
    3. Upload the images
    4. Insert a title (if gallery is used as a slider, this will show up in the purple box)
    5. Insert text in the description (if gallery is used as a slider, this will show up in the white box)
    6. [REQUIRED] In the "Caption" text field, describe the photo. This is required for accessibility purposes. Ex: photo: students walking on campus, photo: graduate student conducting research in lab, etc.
    7. If gallery is used as a slider, insert the link you want the slider to point to
  8. If you want to remove a an image from the gallery or slider, click the “x” in the top right corner
  9. Save
  10. Publish
