Procedure to Moving Lab to a New Building

For all labs:

  • Report that you are moving to a new lab by completing this form: 

MOVING TO A NEW RESEARCH LAB FORM

  • All labs will need a pre-move inspection completed by EHS. Please contact the appropriate person below to schedule your pre-move inspection.
  • For help with recycling non hazardous materials. contact Lisa Mahoney
  • Following relocation, EHS will perform a close-out inspection of the previous lab space and conduct certification of the new lab space.

Equipment

  • Point of contact is your building manager or department chair
  • List of all equipment in the lab to be moved, including tagged and untagged items. 
    • Check with your building coordinator for a list of tagged equipment in your lab.
  • List of all supplies in the lab to be moved. 
  • Clean and decontaminate all equipment in the lab.
    • Contact EHS or Radiation Safety for proper decontamination instructions for equipment used in biological research or radioactive materials.
  • Equipment with frayed or fraying electrical wires or damaged internal components may not be moved.
  • Coordinate list of moving materials/equipment with Department Head and Building Manager

Chemical/Hazardous Waste

Before Move

  • Before the move, you must update and verify your chemical inventory in EHS-Assistant. Be sure to include all chemicals in fridges, freezers, fume hoods, cabinets, and other areas
    • Items not in your inventory must be added. If an item is no longer present, it must be removed. 
  • From your inventory, generate a list of chemicals that will be moved and email your list to Dr. Santaloci
    • This step is important so we can ensure proper packaging of chemicals based on hazard classification.

  • Ensure all peroxide forming chemicals are tested.
    List of PEROXide forming compounds
    • If the test results are positive place a waste request in EHSA for removal.
  • If you have a DEA controlled substance, PI's need to provide the DEA Licence to Taylor Santaloci
  • Your current research space must be inspected and all chemicals being moved must be verified through EHSA Chemical Verification Module. Schedule a meeting with Taylor Santaloci when you are ready
  • Please Submit your Chemical inventory to the chemical safety manager, Taylor Santaloci via email
  • All Peroxide Formers must be tested for peroxides
    • If peroxide formers test positive, place a waste request in EHSA
    • Don't move chemical if tested positive for peroxides
  • Chemicals that can't be moved to new building

    • Organic Solvents more than 10 years old should be placed as a waste request within EHSA
    • Any opened organic chemicals older that 10 years should be placed as a waste request within EHSA
    • Peroxide formers that tested positive for peroxides should be placed as a waste request within EHSA
    • Inorganic materials that are not in their original form should be placed as a waste request within EHSA
    • Any chemical container that is damaged or in poor condition should be placed as a waste request within EHSA
    • Any chemical label that is damaged or illegible should be placed as a waste request within EHSA
    • Any chemical that lab safety or chemical safety deems unsafe
  • All chemicals that cannot be moved must be discarded via EHS by submitting a hazardous waste pick-up request.
  • Hazardous chemical waste cannot be moved. Submit a hazardous waste pick-up request prior to moving. 
  • Other important information:
    • All peroxide formers (regardless of date of receipt) must be tested before transportation. Peroxide formers may not be moved if they test positive.
    • If applicable, provide your DEA license number to EHS.

Biological Materials

  • Generate an inventory of all your biological materials that will be moved in a spreadsheet. Be sure to list what it is and approximately how much. Include all cell lines, animals, rDNA, insects, pathogens, plants, environmental samples, etc. 
    • Example: E. coli stocks- approximately 10 freezer boxes with 50 vials of ~1mL
  • Send the list of materials that will be moved to Dr. Keeton.
    • This is important so that we ensure all biological material that will be moved is packaged and handled properly.
  • All PIs will also need to submit an amendment to the IBC to remove old locations of work and add new building and room numbers.
    • This may be done after the move, but it is a compliance requirement.
  • All biological material or waste that is not being moved must be autoclaved and discarded prior to moving.

Controlled Substances

  • Contact the DEA for information on the movement of controlled substances. The DEA must be notified, and your permit updated.
  • To dispose of DEA-controlled substances, you will need your DEA license number and complete Form 41.
  • Controlled Substances may NOT be transferred to another researcher.

Common Room

  • Ensure all researcher-owned material is out of common rooms. Dispose of material accordingly.
  • Clean and decontaminate shared equipment
    • Contact EHS for proper decontamination instructions for equipment used in biological research.

Compressed Gas

  • Contact the supplier for return instructions.
  • Faculty, staff and students are not permitted to move compressed gas cylinders.

Personnel

  • Department Chair and Building Manager
  • List of Personnel Moving
    • Please provide list to EHS as well so that EHSA can be approperiately updated
  • Ensure that all keys are returned to Building Manager, including entrance keys
